“Do more with less” has become the reality for most government agencies, and Logan City is no exception. Our staff is highly capable, but everyone is stretched thin and wearing more hats than ever. One area that consistently demanded more time and attention than it should have was our bidding and RFP process. Traditional methods—email chains, scattered documents, manual checks, and last-minute clarifications—were inefficient and left too much room for missed communication.

Virtual Project Manager’s Virtual Bid module has fundamentally improved that process for us. It brings all bidder communication—questions, RFIs, addenda, and clarifications—into a single, transparent location. There is no longer any uncertainty about whether an email was received, who was included, or whether the latest addendum made it to everyone. This alone has eliminated a significant source of stress for both staff and bidders.

From the City’s perspective, Virtual Bid saves meaningful time and reduces risk. The system guides bidders to submit complete and properly formatted responses, and it performs much of the administrative checking that staff previously had to do manually. Bid tabs are clean, consistent, and easy to compare, which allows us to move more quickly and confidently into award and contracting. Just as importantly, bidders have a clearer, more predictable experience—which leads to better submissions and fewer issues after opening.

A major advantage for Logan City is that Virtual Bid is included as part of our existing Virtual Project Manager contract, with no additional cost. That made adoption easy, but continued use has been driven by results. Virtual Bid has taken a process that used to feel outdated and communication-heavy and turned it into something efficient, reliable, and far easier to manage. It allows our staff to focus less on administering bids and more on delivering projects—where their time is best spent.
